Security architecture

Defence in depth, from sign-in to the ledger

Financial data deserves layered protection. Each layer below works on its own, so a weakness in one does not expose your books.

Layer 1

Identity & sign-in

  • Passwords stored only as bcrypt hashes, upgraded automatically as standards strengthen.
  • Password rules: at least 10 characters with letters and numbers; installation defaults are refused.
  • Account lockout after repeated wrong passwords, plus a per-network limit against password spraying.
  • Identical responses for unknown users and wrong passwords, so attackers cannot discover valid usernames.

Layer 2

Sessions

  • A new session identifier at every sign-in, which prevents session fixation.
  • Session cookies that scripts cannot read, that are not sent on cross-site requests, and that travel only over HTTPS.
  • Automatic sign-out after inactivity.
  • "Remember me" tokens stored only as hashes, and revoked on every device when a password changes.

Layer 3

Authorisation

  • Six roles (Admin, Manager, Supervisor, Accountant, Officer, Viewer), enforced on the server for every page.
  • Printing and Excel export follow the same rules, so a payslip prints only for roles that can open Payroll.
  • Sensitive actions such as voiding journals and managing users are limited to senior roles.

Layer 4

Application

  • A unique security token on every form, which blocks forged requests from other websites.
  • Business modules run only behind the authenticated router, never directly.
  • Escaped output and parameterised or escaped database queries against injection attacks.
  • Hardened browser headers: HTTPS enforcement (HSTS), clickjacking and content-sniffing protection.

Layer 5

Data integrity & audit

  • Every posting is validated to balance and written as one all-or-nothing database transaction.
  • Corrections void and reverse entries rather than deleting them.
  • A sign-in log and activity log record the user, time and IP address for review.

Layer 6

Configuration & secrets

  • Database credentials and keys kept in protected environment settings, never in application code.
  • Configuration files, backups and database exports blocked from the web.
  • The installer locks itself once the system is set up.

Questions buyers ask

Before you decide

Who owns the data?

You do. Ledgers and reports can be exported to Excel at any time. Under a licence, the database runs on your own infrastructure.

Can different staff see different things?

Yes. Six roles control what each person can open, post, print and export, from full administration down to read-only reporting for auditors.

How are mistakes corrected without hiding them?

Posted journals are voided with a reason and can be restored. Entries are reversed rather than deleted, so reviewers can always follow what happened.

Does it handle Nigerian payroll deductions?

Yes. PAYE, pension and NHF are calculated for each employee, with payslips and a payroll summary posted to the ledger.

Should we choose the service or a licence?

Choose the service if you want us to host, update and secure everything. Choose a licence if your policy requires the data on your own infrastructure, or you prefer a one-off cost.

What do we need to run it?

For the service, just a modern web browser and an internet connection. For a licence, a standard Linux web server with PHP 8 and MySQL or MariaDB; our team installs and hardens it with you.
